HUBCO Gate Pass replaces paper gate pass forms with a local-first desktop application tailored for industrial site security. Initiators submit visit requests from office PCs; admin and security approve, record entry and exit at the gate, and export records — with a dedicated tablet view for guards and LAN hub sync across authorized workstations on the internal network.
The Problem
Manual paper gate passes at a secured industrial site created approval delays, no live headcount visibility, and no searchable audit trail — while cloud alternatives would add recurring hosting costs and expose sensitive personnel movement data outside the organization's control.
The Solution
Built a branded gate pass application with dashboard KPIs, role-based workflows (initiator vs admin), pending approval queue, gate console for IN/OUT timestamps, printable passes, Excel export, and a central LAN hub so authorized PCs sync on the office network — with offline draft queuing when the hub is temporarily unreachable.
Why LAN — Not Cloud
We deliberately chose an on-premise LAN architecture instead of a cloud deployment — balancing operational cost with the need to protect sensitive gate pass and personnel movement records.
Cost efficiency
A cloud setup would mean recurring spend on hosting, domains, databases, and ongoing maintenance. The LAN model runs on existing office PCs with a local hub on the internal network — no monthly infrastructure bill for the client.
Security & data sovereignty
Gate pass records include personnel names, sponsors, and IN/OUT history. The database is hosted locally; authorized workstations connect only through HUBCO's office LAN. With no public internet exposure, external cyber risk is sharply reduced and the organization retains full control over its data.

Dedicated gate console for security guards to record IN/OUT timestamps, plus a tablet-optimized dashboard for the guard booth.
LAN Hub & Offline Drafts
Central LAN hub syncs passes across authorized PCs on the internal network. Initiators can queue drafts offline and auto-upload when the hub reconnects.
On-Premise by Design
No cloud dependency — data stays on HUBCO's LAN, cutting recurring hosting costs and keeping personnel records off the public internet.
